December 14, 2003 Meeting

Meeting Attendance

  • Meeting attendance was not recorded since it was the Christmas meeting. Thanks to everyone who gathered at Sandee's home to celebrate the holidays.

Old Business

  • Call to Order
    • Janie Hamilton called the meeting to order. There was a clarification of the clinic fees in the minutes.
  • Spring Clinic
    • Flyers will be printed and mailed to High Point and NTASHA mailing lists. The clinician Scott Matton has made his own flight arrangements, but NTASHA needs to make all other arrangements for him.
  • Sponsorships
    • TASHA sent the club a sponsorship of $300.00.
    • Rockwall Extravaganza sent NTASHA a thank you note for our sponsorship. In 2004, this show will be at Collin County Youth Park the weekend of May 16.

New Business

  • January Jubilee
    • This show is charging post-entry fees after January 5. Also exhibitors must comply with "C" guidelines.
  • Banquet
    • TASHA is considering scheduling the banquet separate form the show, and wondering if anyone from Dallas would attend.

November 17, 2003 Meeting

    • Janie Hamilton called the meeting to order.
  • Approval of Minutes
    • There were no changes to the October minutes.
  • Treasurer's Report
    • Sandee Razminas reported a balance of $21,232.91.
  • NTASHA Spring Clinic
    • January 17 and 18 have been confirmed at Collin County Youth Park. Scott Matton will be the clinician for $350.00 per day, plus a $25.00 per day per diem, and airfare. CCYP will cost $575.00 per eight hour day, however CCYP will allow NTASHA two hours before and after to set up and clean up. CCYP will charge $150.00 per day for concessions but that is easier than setting up our own concessions.
    • It was suggested that there be a registration deadline so NTASHA can get an idea of how many will be there. Membership voted on the following clinic fees:
      • $50.00 for non-NTASHA members, but $25.00 if person joins NTASHA
      • Free to NTASHA members
    • Candee Carlson and Brent Cowan were appointed to orchestrate the clinic and Sandee Razminas will send the $300.00 deposit to CCYP to reserve the facility.
    • Janie Hamilton suggested marketing the clinic to the Arab and Morgan Saddle Seat riders.

New Business

  • Big D Luncheon:
    • Gail Kirkland agreed to orchestrate the luncheon again this year.
  • Sponsorships:
    • The question was raised about sponsorship for TASHA and Pin Oak. The club agreed to the following:
      • SASHA--$300.00
      • Pin Oak--$300.00
      • Big D--$500.00
      • Rockwall Spring Extravaganza--$300.00
      • TASHA--$300.00 (for both shows, not each show)

    • Janie Hamilton called the meeting to order.
  • Approval of Minutes
    • There were no changes to the September minutes.
    • Janie Hamilton reported a balance of $22,903.12.
  • NTASHA Fall Classic
    • Janie Hamilton reported that the show had six more horses this year than last year. The facility cost more this year than last. Here is a summary of profits made for the last three years:
      • 2001--$6,177.00
      • 2002--$10,998.00
      • 2003--$6,247.00
    • Candee Carlson said she informally surveyed exhibitors at the show and everyone said the concession, the seating, and the bathrooms were much better than at J & J. The only negative comment she heard was that the footing was a little hard.
    • Nancy Lassiter said accommodations were hard to find and were expensive.
    • Janie added that NTASHA needs to give exhibitors much more notice of show dates and that will help with hotel rooms.
    • Brent Cowan mentioned there are camping facilities in the area and there are Bed and Breakfasts available as well.
    • Jackpot Judging raised $990.00. $490.00 went to NTASHA. It was a lot of fun for the participants. The BBQ was also a big hit as usual.
    • The photographer was reported to be too slow getting pictures to exhibitors.
  • Spring Clinic
    • Terri Harkins has reserved January 17 and 18 at the Collin County Youth Park. Janie said that the February TASHA show is considering merging with an Arab show that would take place January 24 and 25, which would be a huge conflict with the clinic.

New Business

  • Service Hours:
    • Make sure you TURN IN YOUR HOURS to Janie.
  • Promoting the Breed:
    • There was discussion about how to better promote the breed in the North Texas area. Anyone who has ideas or thoughts about this pleasure contact a NTASHA officer.

      • Janie Hamilton reported that NTASHA has raised $5,200.00, which covers all class sponsorships and prize money. That number does not include this week's donations. Remember the prize money is $50.00 awarded to the winner of every performance championship class.
      • Last year NTASHA raised a total of $8,920.00.

    • Sandee Razminas reported a balance of $13,858.27.
  • NTASHA Fall Classic
    • Sponsorships:
      • Janie Hamilton reported that NTASHA still needs $1,725.00 in sponsorships to pay for all the classes. This does not include paying for the $50.00 per Championship class prize money. All funds should be received by August 15. A list of people who have sponsored classes is listed on the website (www.texassaddlebreds.com).
    • Trophies:
      • Sandee Razminas said that she will look into medallions for the juvenile classes rather than trophies. The final decision will be made by Sandee and her committee, since there is only one more meeting before the show.
    • Premium Book:
      • Nancy Lassiter and Meg Rockman will be mailing the book by September 1, if not a little earlier.
    • Hotel Rooms:
      • Please remember that the Glen Rose Inn & Suites has a block of rooms set aside at a special rate. Reserve a room by calling 800-577-2540.
  • NTASHA Spring Clinic
    • Debbie Graves and Terri Harkins reported Renee Biggins is available January 17-18. However she charges $500.00 per day plus travel expenses. Debbie has also talked with Scott Matton (the judge from Big D) and he is also available and charges $350.00 per day. The club voted to hire Scott for the following reasons: he holds a judges card, a male perspective might be a nice change from the past few clinics, and he's slightly cheaper. Collin County Youth Park has been reserved. Since Collin County Youth Park has not given Debbie a final cost for the facility yet, the club decided to table discussion on participation fees until those are available.

    • Sandee Razminas reported a balance of $13,977.46. Sandee also reported that she received a check for the last three months of meetings from Steak 'n Ale.
  • NTASHA Fall Classic
    • Janie Hamilton said the following positions have been filled:
      • TWH Judge: Joel Weaver
      • ASB Judge: Rusty Colvard
      • Paddock Master: Ann Kimble
      • Announcer: Melissa Cole
      • Ringmaster: Marcy Fessler
      • Gatekeeper: Torri Hansen
      • Photographer: John Braham
        • Janie said the photographer prefers to have exclusive rights to center ring. Janie mentioned that Jenifer Jordan could be allowed to take shots outside the ring and sell them at the show. No vote or action was taken by the club.
    • Janie has sent all fund raising letters and has already received some contributions. She said that to pay for all the classes, NTASHA needs to raise $3,150.00. This does not include paying for the $50.00 Championship class prize money. All funds should be received by August 15.
    • Sandee Razminas reported that a local artist has offered to sell NTASHA matted prints to give out as trophies. The club discussed this and decided to stick to usable, tote-able, unbreakable items. Stadium blankets, drink coolers, and other items we've done in the past were mentioned as favorites.
    • Janie suggested that we try Jackpot Judging this year, where one to two large classes per performance are chosen as Jackpot Judging classes. NTASHA would sell judges card to participants and the object is to win money by matching the judge's card (1st through 4th place) for that class. Half of the funds would go to the club and half to those who judge the class correctly. The club did not vote but decided to try it.

New Business

  • Spring Clinic
    • Debbie Graves reported she has talked with Renee Biggins about a clinic January 17-18 or January 24-25. Debbie will call the Collin County Youth Park to determine if NTASHA can hold the clinic there before confirming with Renee.

  • Big D Youth Luncheon
    • Gail Kirkland reported that the luncheon was a great success. Thank you to all who helped by bringing or buying food and serving. This year the Walking Horse folks brought food as well, so thank you to them as well.
    • Janie Hamilton reminded those who helped to email (dkhoss@aol.com) her with the time you spent on it so you can get service hours for it.
  • NTASHA Membership Directory
    • A huge Thank You to Tuc Goodwin for putting together a great membership directory. Janie handed directories to those members who were present at the meeting. Milligans and Shenandoah riders can get their directories from their barn. All others have been mailed.

New Business

  • Fall Classic Horse Show
    • Janie Hamilton reminded the club the horse show is October 4-5 in Glen Rose. Paid volunteer positions will be paid $50.00 plus have their hotel room paid for. These positions are as follows:
      • Show Manager: Janie Hamilton
      • Office Manager: Nancy Hamilton
      • Show Secretary: Meg Rockman will not be able to fill this position this year. Nancy's daughter Laura will fill it.
      • Hospitality: Gail Kirkland will be responsible for hotel rooms and transportation for the judges/officials, center ring set-up and tear-down, and signing up ribbon/trophy volunteers.
      • Center Ring: Sandee Razminas will be responsible for the center ring refreshments and purchasing/managing of the trophies, ribbons, and prize money.
      • Paddock Master--Janie and Nancy will determine if one or two are needed at the new facility. Ann Kimball will be asked to hold this position again.
      • Gate Keeper--There is only one gate as the new facility. David Harkins is a strong possibility. This will be confirmed at the next meeting.
    • Hired positions are as follows:
      • Photographer: Janie Hamilton has hired the same digital photographer who was at the show last year. There was much discussion about allowing Jenifer Jordan to shoot and sell candid shots as well. Janie will determine how other shows handle two photographers and discuss it at the next meeting.
      • DJ: Janie will contact the DJ from last year--Jayme Harris.
      • Announcer: Janie will contact the announcer from last year--Melissa Cole.
      • Ringmaster: Janie will contact the ringmaster from last year--Alona Cole.
      • Farrier: Joe Bradshaw, Jr. has been hired.
      • Janie will ask Joe Bradshaw, Sr. if he is interested in serving the BBQ again this year. However it may mean NTASHA will need to pay for a hotel room for him.
    • Sponsorships:
      • Janie reported that in order to award the $50.00 in Championship classes, NTASHA will need to have the show paid for up front. Class sponsorships will remain at $25.00 per class. August 15th is the deadline for all classes to be sponsored.
    • Classes:
      • Janie reported that Debbie Graves and Candee Carlson are reviewing the class schedule and will request changes as needed by the next meeting. There was lengthy discussion about reducing or combining TWH classes in order to save time and also to introduce new ASB classes. Nancy and Janie will review entries in every class and also review how many are high point classes for TWH. Janie reminded the club that TWH make up two-thirds of the horses at the show and most of the funding for the show.
  • Banquet:
    • Just a quick reminder that TASHA will host the banquet in Houston in the spring, which allows NTASHA to have a spring clinic.

    • Tuc Goodwin will start preparing the member directory. He will include High Point rules for both NTASHA and Texas State points, as well as barn information on each member. Janie will continue to work with him on this.
  • Big D Youth Luncheon
    • Gail Kirkland reported that pizzas will be ordered and Meg Rockman will supply sandwiches. Nancy Lassiter will supply lemon bars.
  • Rockwall Extravaganza
    • The cost to sponsor the whole Academy division is $400.00, and NTASHA has agreed to sponsor $300.00 of that.

New Business

  • AHSA News
    • Janie Hamilton reported that it's time to renew the NTASHA charter membership.
    • ASHA is taking applications, due April 30, for youth scholarships for those under 21 and in the 11th grade or above.
    • The American Saddlebred magazine is creating a charter club scrapbook and would like any and all photographs. Please contact Janie to submit photos for that.
  • NTASHA Fall Classic Horse Show
    • Janie Hamilton reported that class schedules are being reviewed by Debbie Graves and Candee Carlson. The club will start planning the horse show at the May meeting.
    • Candee questioned whether the Any Breed division classes were needed. Nancy Lassiter will review entries from last year and make that determination.
  • Miscellaneous
    • Sandee Razminas reported that Steak 'n Ale donated $29.18 to the club from previous meals we've had with meetings.

    • The minutes from January were corrected: There is a motel at the other end of Glen Rose from the showgrounds called the Dinosaur Inn.
    • Sandee Razminas reported a balance of $16,664.74.
  • Member Directory
    • Tuck Goodwin will work with Janie and Sandee to produce a membership directory for all members. It will have the club's mission statement, a show schedule, and will list all members and their barn affiliations.
  • Service Awards
    • Forty-seven total people in the club earned hours last year. Twelve members earned enough hours to receive Service Awards. Remember that meeting attendance counts towards Service Hours.
    • More than 15 hours earned a collared embroidered shirt: Betty Shupp, Karen Robles, Brent Cowan, Candee Carlson, and Brandi Barbour-Smith
    • More than 25 hours earned a collared embroidered shirt and a nylon/leather embroidered duffle bag: Debbie Graves, Sandee Razminas, Koren Mercer, Nancy Lassiter, and Meg Rockman
    • Top Hours (with well over 100 hours each) received the collared shirt, the duffle bag, and a embroidered rolling piece of luggage: Gail Kirkland and Janie Hamilton

    • This Mystic Acres show will take place March 22 and will include a tack swap.

    • Janie Hamilton called the meeting to order.
  • Approval of Minutes
    • The minutes from January were corrected: NTASHA Service Awards were not given at the banquet.
    • Sandee Razminas reported a balance of $19,254.08 (which does not include the cost for the banquet).
  • Awards Banquet
    • Janie thanked the committee for such a great job. Sandee reported the total cost for the banquet was $7,538.81. NTASHA collected $3,805.00, so the net cost to the club was $3,733.00. Sandee also said there were 122 people who had dinner (total attendance may have been slightly higher).
  • Service Awards
    • Service Awards will be given at the March meeting--don't miss it!!
  • Non-Officer Elections
    • The nominating committee nominated: Nancy Lassiter, Gail Kirkland, Terry Robles, Candee Carlson, and Betty Shupp. There were no further nominations from the floor. The club voted these five people into the Non-Officer Board positions for 2003 through 2005.

New Business

  • NTASHA Fall Classic Horse Show
    • Janie Hamilton and Nancy Lassiter gave full reports on several area arenas, including: Stephenville, Heart of Texas in Waco, Alvarado, Las Colinas, and Glen Rose.
    • Due to lack of adequate facilities, cost, and availability of dates, the choice came down to two locations: Las Colinas and Glen Rose.
    • Las Colinas (cost $7,345.00)
      • Advantages
        • Exhibitors are familiar with the facility, it's close to both Dallas and Ft. Worth, there are plenty of hotels, and restaurants in are area.
      • Disadvantages
        • The only date available to us is October 25-26, the stalls are separate from the facility and during bad weather that is a big problem, it's an open facility that will be extremely cold and (chances are) wet on those dates, and the facility will charge us for three days if exhibitors arrive on Friday (which is essential to the show).
    • Glen Rose (cost $6,296.00)
      • Advantages
        • The entire facility is enclosed, there are two warm-up arenas, and the show dates would remain the same as past years (October 4-5).
      • Disadvantages
        • There is one hotel on the property but no other hotel in the immediate vicinity (although there's another one in a nearby town), there are no chain restaurants in the area, and it's about 1.5 hours from DFW Airport.
    • Several other considerations were discussed: there is no center ring at Glen Rose, however there is a central PA system, and the announcer and organist can be set up on the side of the arena. It's extremely important to keep the show date consistent--both for the TWH attendance and so this show doesn't compete with other, larger shows for exhibitors. The club also discussed paid volunteers and how important they are to the show.
    • After lengthy discussion, the club voted to:
      • Hold the show at the Glen Rose facility on October 4-5.
      • Pay hotel rooms for the paid volunteers.
  • Rockwall Extravaganza
    • This will be held at the Collin County Youth Park May 18. Last year NTASHA spent $320.00 to sponsor four Qualifying and 4 Championship Academy classes, and Candee donated an additional $30.00. The club voted to donate the same amount this year. Candee and Debbie will look into additional classes for Academy riders.

  • Call to Order
    • Janie Hamilton called the meeting to order.
  • Approval of Minutes
    • There were no minutes to approve from last month.
    • Sandee Razminas reported a balance of $19,803.20.
  • Awards Banquet
    • Terri Dolan reported that the hotel is set up, the casino is ready to go, and the committee is the process of getting dinner orders. Last year the club had about 100 people for dinner. A weekend at the Marriott Quorum will be the Grand Prize in the gambling.
  • Service Awards
    • These will be awarded at the Banquet:
      • 15 Hours--Level 1 Award
      • 25 Hours--Level 2 Award
      • Most Hours--Big Award
    • Remember that Service Hours start again as of January 1 for 2003.

New Business

  • Membership Drive
    • Janie Hamilton reported that letters will be going out. Remember that you must be a member of NTASHA to qualify for NTASHA High Points and a member of either NTASHA or TASHA to qualify for the Texas State High Point Awards.
    • Terri Dolan suggested we have a membership drive at the banquet. Tom Goodwin volunteered to create a NTASHA membership directory for 2003 members.
  • Big D Junior Exhibitor Luncheon
    • This is the Saturday luncheon during the show NTASHA puts on for the junior exhibitors. Gail Kirkland volunteered to head this committee. Meg Rockman indicated she would provide sandwiches again this year.
  • Horse Show Sponsorships
    • NTASHA makes regular donations to Texas shows. Membership voted to continue donation levels from past years. They are:
      • TASHA: $50.00
      • SASHA: $300.00
      • Pin Oak: $300.00
      • Big D: $500.00
      • State Fair: $500.00
  • Non-Officer Board Member Elections
    • Janie Hamilton reminded membership that Non-Officer Board Member elections happen in February of even years. Current Non-Officer Board Members are:
